Spaces Ownership Dispute

If you believe you are the rightful owner of a Space and need access from someone who currently holds owner (full access), you may be eligible to submit an ownership dispute to CollectionStation.
Before you file a request, try resolving it directly:
- Contact the current Space owner and ask them to add you as a community manager or to transfer ownership to your account. Owners can manage team access from the Space's Edit → Access and Edit → Team settings.
- If you already have community manager access but need full ownership, ask the owner to use Transfer ownership on the Edit → Team page.
CollectionStation cannot override a Space owner's voluntary team choices without a completed dispute review.
When to submit a request
You may be eligible to file an ownership dispute if:
- The person with owner access was a former employee, contractor, or volunteer who no longer works with your business or organization.
- The person with owner access is deceased and you can provide a death certificate (or equivalent legal documentation).
- The only Space owner accidentally removed themselves from the Space team and no other owner remains.
- There is a third-party business ownership dispute supported by a court order or other binding legal judgment.
- CollectionStation staff directed you to submit a dispute after an impersonation or trademark report.
We generally do not grant ownership through this process when:
- A co-founder, partner, or volunteer dispute can be settled without legal documentation.
- You want access but cannot demonstrate a relationship to the business, brand, or public figure the Space represents.
- The Space was created by someone else for a legitimate purpose and you only want the name or slug.
Documents to include
You must provide all three of the following when you contact support. Your request cannot proceed without them.
- Identification — An acceptable government-issued ID for the person making the request.
- Attestation letter — A signed letter on official letterhead (see below).
- Ownership document — Official proof that the requester owns or legally represents the business, brand, club, or public figure the Space represents.
Documents must not be altered and must be in a non-editable format such as PDF, JPEG, or PNG.
Note: Have all three documents ready before you contact support. You will not be able to complete your request without them.
Identification
CollectionStation accepts digital scans and photos of physical ID. The name on the ID must match the individual signing the attestation letter.
Preferred forms of identification:
- Passport
- Government-issued photo ID
- Driver's license
- Government employee ID (for civic or public-office requests)
If you do not have one of the above, contact support to ask whether another government-issued photo ID is acceptable.
Attestation letter
The attestation letter must include all of the following:
Letterhead showing:
- Name of the individual or business
- Physical address
- Phone number
- Company logo, official branding, or government seal (when applicable)
Signature — Handwritten or certified digital signature (for example DocuSign, Adobe Sign, or an equivalent). The signature must be legible and not obscured.
Body content:
- Description of the requester and their relationship to the Space, including authority to act on behalf of the business, organization, or public figure.
- Space ID and URL of the Space you are requesting access to (for example
collectionstation.com/spaces/your-space-name/…).
- CollectionStation profile URL and email address of the account that should receive owner access.
- Explanation for the request, including any change in employment, contract, or business relationship with the current owner or team members.
- If known, the names of people who currently have owner access and their relationship to you. If you cannot provide this, explain why.
- A declaration statement from the requester.
Example declaration:
I, [full legal name], certify that the information provided is true and accurate.
Agency requests: If you are filing on behalf of a client, the letterhead may be your agency's. The letter must still describe the client, your authority to represent them, and the reason for the request.
Ownership documents
Submit official documentation that proves the requester's ownership of or legal authority over the entity the Space represents.
If the Space name does not match the legal entity on your documents, include a brief explanation and any supporting link between the names.
Submit your request
When you have all required documents:
- Sign in to CollectionStation with the account that should receive owner access (or the account you want tied to the Space after review).
- Open the Help Center.
- Contact support and choose Spaces ownership dispute (or describe your issue using that phrase).
- Attach your identification, attestation letter, and ownership documents in the same conversation thread.
CollectionStation will review your submission and may ask for additional verification. Processing times vary; incomplete requests are paused until you supply missing items.
What happens after review
- If your dispute is approved, owner access may be assigned to your account or as otherwise directed in the review outcome. Other team roles may be adjusted to match the verified ownership structure.
- If your dispute is denied, you will receive a brief explanation. You may respond with new documentation if your situation changes.
- Fraudulent or misleading submissions may result in account restrictions under our Community Standards and Terms of Service.
When contacting support, choose Spaces ownership dispute or use that phrase in your message. Attach all required documents in the same chat thread.
